After months of waiting, we've finally got some news to share to all of the Harry Potter fans that are eagerly awaiting information on the highly anticipated Infinitus 2010 HPEF symposium!
We're proud to announce that starting on November 20, 2007 the Infinitus room block at the Universal Resort properties will be opening up for reservations! Rooms are available for $210 at the Portofino Bay Hotel (http://www.universalorlando.com/ht_pbh_index.html) and the Royal Pacific Resort (http://www.universalorlando.com/ht_rpr_index.html). For those of you who want to experience the (w)rocking lifestyle, we will also have a small number of rooms at the Hard Rock Hotel (http://www.universalorlando.com/ht_hrh_index.html) for $255. If you'd prefer a suite, there is a twenty-five percent discount available to all Infinitus attendees on suites at all three Universal Resort hotels. Please note when making your reservations that the majority of the symposium will be taking place at the Royal Pacific Resort convention center. There will be plenty of readily available transportation options between the hotels, such as a lovely ferry ride.
In order to make your room reservations, simply call 1-866-360-7395 and mention that you'll be attending the HP Education Fanon Inc., Infinitus 2010 Symposium.
The entire Infinitus Team is working tirelessly with Universal Resort properties and the Universal Parks (http://www.universalorlando.com/) to plan a spectacular event. More information will be forthcoming throughout 2008 and beyond. In the meantime, be sure to check out Portus 2008 (http://www.portus2008.org/) that will be taking place in Dallas, Texas from July 10-13, 2008, and Level Two 2009 taking place in San Jose, California from July 23-26, 2009.

I called the hotel reservations today (11/19) to find out what time tomorrow I could call to make reservations. They told me they will NOT be taking reservations for this event tomorrow, the manager said it wouldnt likely be available until sometime next month.
Could you please find out from Universal when the reservations will become available since there is now a discrepency?

I called today and they said they won't be reserving til mid January. I don't know but, I'm really concerned about this. I know how hotels work (I'm a chef) and they always have plans for the year, they always have a schedule which will tell them the management in the hotel (the costs, their losses and stuff). Don't you think you're getting a bit too carried away? I mean, this is 2 and a half years from now...most people don't even know what they'll be doing by then! I think a year and a half it's okay though, why didn't you start doing that by then like any other con has? Why are you trying to rush things? That's what I want to understand, why the rushing? I know, this con's a bit different, we got the theme park coming and stuff but I don't think you have to be so rushed about it. Friends of mine are going mad and pissed at ya about it! All I want from you is an aswer of why you're doing this now? and please I at least want to hear(read) a reasonable one...thank you for your time and I hope to hear soon from you with a decent reply. Clearly there is a reason for the early reservations opening. In any case, these guys must be busy enough as it is.
What I don't understand is WHY ARE PEOPLE BEING SO RUDE ABOUT IT?!

Agreed. I don't get what the big deal is for. These kinds of things are first come, first served. I'm a poor college kid myself and it's just a fact of life. When I went to Lumos2006 I had to wait until I had some money in order to reserve a room and suffered a bit by having to go to one of the add-on hotels, but that's purely business.
Why do people give a you-know-what if it's 2.5 years in advance? If you don't want to book a room, then don't. If you can't book a room, then don't. If you want to and can, then do. Simple as that, nothing else.

I have a strong feeling that setting things up so early has everything to do with the amount of people who are talking about coming. The more people they have to account for, the earlier things have to be planned. Either way, it doesn't really matter how early they do it and i dont see why anyone would be upset by early planning. It's not like the registration is starting now, its just the hotel. If you change your mind and decide you cant go, you call the hotel, no harm done. Stop complaining and embrace it. The earlier we know, the earlier we can plan, its not a bad thing..

It has now been a week since I asked about the registration. Is there an answer from Universal yet? I think we have passed the point of just waiting for a reply back from them by email (since you had said you had an email in to them) maybe you should call your contact. It would be nice to know when I can make my reservations since Universal told me first some time in December then another person said after the first of the year and yet another said sometime in late January.

Hello everyone. First off, I'd like to apologize for any lack of response that you have received this past Holiday weekend.
There are three points to this message, and they are as follows:
1. Unfortunately, while the hotel initially promised us that people would be able to make reservations by now, it seems that recent updates to their system don't allow them to accept reservations more than 18-20 months in advance. Therefore, if you want to make your reservation directly with the hotel, you'll have to wait another thirteen months or so.
However, starting in January 2008, you will be able to add your name to a reservation list with our event's travel agents, who are going to coordinate with the hotel on your behalf. More information on this will be available in the coming weeks.
2. The Universal Resort complex has over 2400 rooms available between their three hotels, and our designated room block - which we can enlarge - is for over 500 rooms for each night of the conference. In other words, the hotels can hold nearly 10,000 people on any given night.
We are working closely with the hotels to make sure that rooms are available for everyone who wants one. The reason we hoped to enable people to make reservations this far out is because people sometimes get gifts of conference travel as a holiday present - we know of a few people who plan to ask for their trip to Infinitus 2010 as their Christmas present for the next three years. We wanted to make it possible for them to do this, but in turn, we don't want anyone to feel that they're under enormous pressure to make their reservation this week or next month or even in the next year. The hotels won't sell out that quickly, and if they do we'll get an overflow hotel nearby and bus people back and forth. And everyone will have a terrific time!
3. We are working with the hotel to resolve an issue regarding additional per-person costs in standard rooms and suites that are above double occupancy, and hope to have our questions answered in the next few weeks.

Firstly I'd just like to say thank you very much for all your efforts that are going into Infinitus; it is most definitley appreciated.
That said, I was wondering if you had any idea if the hotels are all booked, or otherwise, if there are any more available spots.

Are the hotels you mentioned in the first post still available for rooms?
And on a bit of an unrelated question, the age limit is 14 to go to the conventions, right?

So, this will be my first Harry Potter conference, and I'm a bit clueless as to how things go.
Are all those three hotels considered the "host" hotel? In which hotel do the actual events take place? Say for example that the events take place mainly in only one hotel - is it better to stay in that hotel to get the "full" experience? I was planning on stay at the Hard Rock hotel, but wanted to know first if there's any difference.
And are the hotel reservations available now? Sorry for all the questions, and thanks in advance for any help.

so i am confused, and any help would be amazing. can we book our rooms at the hard rock for infinitus? or even at the portofino hotel? because i called universal at the beginnig of this year and we couldn't yet. so thats why i'm confused

I believe the events will be happening in the Royal Pacific, but you can still book at the Hard Rock and the Portofino and get the discounted rate, as well as complimentary transportation between hotels. So it might be slightly more convenient to stay in the main host hotel, but really I'm sure things will be happening at any of them.
I haven't booked a room, but from what I've heard you can make reservations now. Just make sure to call and not do it online to get the discounted rate.
All three hotels have rooms reserved in our block. The convention space is at the Royal Pacific, so the programming will happen there, but the Portofino is a 15-minute boat ride and the Hard Rock is closer because it's at CityWalk. The Portofino is pretty gorgeous, by the way, but if you stay there, you'll probably want to plan to leave the room in the morning and not return for most of the day, as it's a 40-minute round trip.
As for the availability, their computer system was not able to take reservations right away, but they should be accepting reservations by now. One of the official Infinitus organizers ought to have more accurate information about how to book rooms.
